We look forward to welcoming you to AAAR's 38th Annual Conference. Below is useful information for you to get the most out of your time with us including how to navigate the platform, details on timing, and where to go for help if you require assistance.
Please note that although we encourage you to explore the event platform prior to the conference beginning, some portions or features may still be under construction. These will be completed by the conference opening and we appreciate your patience while we work to create the best experience possible for you.
Please see the log in instruction below. To access the platform for the first time, you will need to follow these instructions of creating a password. Once your password has been created you can use your email and password to log in for the remainder of the conference.
NOTE: If you receive an error saying that your email address is not registered, please contact the event organizer, do not sign up as a new user.
Click “My Profile” In the upper right-hand corner. You will be brought to the page to “Edit user profile”. You can adjust your profile information by clicking through the menu items Profile Details, Business, Contact Details, My Image, and About Me.
We recommend that you log in 24 hours before & look around the site ahead of the event starting. This will help you familiarize yourself with the different areas and help you get more comfortable before you are hopping on to join a webcast.
Prior to the event being available, you can also log into a demo site to click around and familiarize yourself with the site functionality as the functionality will be very similar, if not the same, for the event.
Click or copy the following link into your browser to access the demo site: https://virtualeventplace.com/demo
Please note that although we encourage you to explore the event platform prior to the conference beginning, some portions or features may still be under construction. These will be completed by the conference opening and we appreciate your patience while we create the best experience possible.
The full program can be viewed here. The live conference events can be accessed via the webcast auditorium. Special events and their specific access information is noted below.
The conference is organized in two daily sections:
The Plenary Sessions are live. They include the plenary lectures and awards presentations. These are followed by three sets of 6 parallel Platform Sessions to choose from. Each includes three pre-recorded talks on a related theme followed by a live Q&A session. The pre-recording facilitates session flow. It also allows us to post these talks afterwards for 30 days of on-demand viewing for those unable to attend the sessions. The Early Career and Diversity Events will be live at 7:30 – 8:30 PM EDT Wednesday and Thursday, respectively. They include short presentations followed by discussion.
Browse through our poster sessions by clicking through the different topic areas or using the search function noted underneath “Poster Halls”. Once you have entered a “poster booth” you have the opportunity to click into any documentation the poster presenter has added, watch their presentation (if applicable) or chat with the poster presenter using the chat function at the bottom of the page*. In addition, poster visitors are invited to leave questions at any time. The poster presenter can respond to you later. Designated time have been allotted to poster sessions, please see the schedule below. During these times, you can visit each poster booth and live chat with the poster presenter and/or other individuals viewing that same poster. Some presenters will be unable to man their booth due to inconvenient time zone differences therefore please leave your questions or comments in the chat for the presenter to respond upon return.

Archived recordings will remain in the Webcast Auditorium for (30) days post event. You will have to enter the Auditorium, find the webcast you would like to watch, and click the “View Archive” button. It takes about 48 hours after the live session for the recording to be made available.
Chat is available in each area of the event, as well as each sponsor booth. You can chat to everyone in the room using text, or have private one-on-one text, audio, or video chat! Here is how it works:
Chat to all - use the text bar at the bottom of the chat window to type a message. Simply hit send and your message will be public and visible to all.
TIP: To tag someone in your message simply use the @ symbol to search for their name. The chat will automatically populate names of those who are in the same chat.
Private text chat (1:1) - To have a private text conversation select the person you would like to chat with from the right-hand side of the screen. When you click their name a private message window will pop up. From here you can engage by text, audio, or video.
Audio & Video calls: To make a 1:1 audio or video call follow the steps above to pull up who you would like to connect with. Once you are in your private chat window you will be able to see a phone icon (voice only) and a video camera icon (video call). Click on the corresponding icon to initiate your call.
TIP: Use the group or private text chat to confirm someone has time and is ready to connect by phone or video.
*The chat is an interactive feature between attendees, for help please use one the of the below options. Attendee chats will not be consistently monitored so requests for help may not be seen.
In the upper right corner of the platform, click on Helpdesk. There, you can find many frequently asked questions, as well as the contact phone number and email for support. Additionally, there is a chat box in the lower right corner of the platform that you can use during normal show hours for any additional issues you may have.
Help desk staff members are available for support Monday to Friday from 9am to 5pm ET.
Please contact us at info@aaar.org or 1-866-972-7222. The AAAR staff can be reached Monday to Friday from 9am to 5pm ET.
